Active and upcoming shifts
You can view your active and upcoming shifts here. Shifts for which you are assigned on-call by your scheduling admin, or shifts that you manually set yourself on-call for, will appear here.
New shifts
You can set yourself on-call for a new shift by clicking on New call shift. A pop-up will appear asking you which of the schedules you are affiliated to you would like to schedule yourself on-call for, and you will also be asked to schedule a start and end date and time for this call shift.
You can optionally leave a comment on a shift, which users within your workspace will be able to view via the Call dashboard.
Calendar sync
Exporting a Stenoa schedule to a third-party app allows users to review their on-call shifts without logging in to multiple products. Common choices include calendar apps such as Google Calendar, Microsoft Outlook, and Apple Calendar.
You can integrate your Stenoa on-call schedule with calendar software using the WebCal or iCal formats by clicking on Calendar sync and subscribing to the calendar of your choice. Your calendar app will then open and you will be able to finalize the settings to confirm the sync.
You can also copy your Stenoa calendar feed URL into the calendar app of your choice.
Your calendar feed will automatically be updated when any change is made to your on-call schedule on Stenoa.
Transfe requests
Stenoa makes transferring a call shift easy. Simply click on the three dots beside an active or upcoming shift, and a pop-up will appear. You will be asked to specify the recipient name, and the transfer period. The default transfer period will be the remainder of a shift for active shifts, or the entire shift for upcoming shifts. Shorter durations can optionally be specified.
You can only transfer a call shift to a user within your workspace, of the same role, and that is affiliated to the associated Schedule.
If you receive a transfer request, this can be viewed and managed (accepted or rejected) in Inbound requests. Transfer requests that you have made will appear in Outbound requests until they are accepted, and can be cancelled until that time.
Shift marketplace
Marketplace allows you to publish an upcoming shift that you are assigned to for another user to claim. This functionality is useful in the event that you would like to relieve yourself of an upcoming call shift but have not identified a user that is available for transfer. To publish a shift on the Marketplace, click on the three dots besides an upcoming shift and click Offer on marketplace.
Only upcoming shifts can be listed on the Marketplace, and only users affiliated to the associated Schedule and with the corresponding role can claim a shift on the Marketplace. Shift marketplace must be toggled on by Schedule admins in Scheduling Settings for shifts belonging to that Schedule to have the option of being listed on the Marketplace.
Leaves
You can inform your Schedule admin of upcoming leaves by creating a new leave on the web app. A modal will appear asking you to identify the associated schedule, duration, and type (Personal, Vacation, or Conference) of leave. A comment can optionally be left for review by your Schedule admin.
Schedule admins will be automatically notified of the leave request, and will be able to approve or reject the request via Leave Management. You will then be notified of this update via email and by checking the web app.
Once a leave is approved for a Schedule, it will not be possible for a Schedule admin or the Schedule Generator to set you on-call during that period.
If you are affiliated to multiple Schedules, you will need to have an approved leave from each affiliated Schedule in order to ensure you are not set on-call during this period.
Call dashboard
You can view your entire workspace’s on-call dashboard to see who is currently on-call, upcoming on-call shifts, and past on-call shifts. The default view is a weekly view. To see a monthly view, click on any role.
You can also filter by Site, Service, and role, as well as manually search the dashboard by any field.
Only Schedule admins or Locating users can assign or transfer shifts from within this view.
